1. Who We Are

SuiteClean Ltd ("SuiteClean", "we", "us", "our") is a professional cleaning company registered in England and Wales (Company No. 16601711), providing cleaning services to tenants and landlords across Medway and surrounding areas. Our directors are David Aluko and Kenadi Margetts.

We are committed to protecting your personal data and handling it responsibly in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Data We Collect

We collect only the information necessary to provide our services. Depending on how you interact with us, this may include:

  • Identity data: first name, last name
  • Contact data: email address, phone number
  • Property data: room number, property address, postcode
  • Service data: cleaning package selected, booking date and time, access instructions
  • Business data (landlords/agents): company name, number of properties, services required
  • Communication data: any messages or notes you provide in forms or via WhatsApp or email

We do not collect sensitive personal data, financial card details (these are handled directly by our payment processor, Stripe), or data from anyone under the age of 18.

3. How We Collect Your Data

We collect data directly from you when you:

  • Complete a booking or enquiry form on our website
  • Contact us via email at info@suiteclean.co.uk
  • Message us via WhatsApp

4. How We Use Your Data

We use your personal data for the following purposes:

  • To deliver our services: processing bookings, scheduling cleans, and managing contracts
  • To communicate with you: sending booking confirmations, reminders, and responding to enquiries
  • To invoice and manage accounts: for landlord and letting agent contracts
  • To comply with legal obligations: including maintaining records required by law

We will never sell your data to third parties or use it for unsolicited marketing without your explicit consent.

5. Who Has Access to Your Data

Your data is accessible only to authorised SuiteClean personnel involved in delivering your service. Currently this includes our directors and, where applicable, supervisory staff who may be appointed in future. All team members are required to handle personal data confidentially.

We may share your data with trusted third-party service providers only where necessary, including:

  • Stripe: for secure payment processing (they handle card data independently under their own privacy policy)
  • Email and messaging providers: solely for the purpose of communicating with you

We do not transfer your data outside the UK.

6. How Long We Keep Your Data

We retain your personal data only for as long as necessary:

  • Booking and service records: up to 3 years from the date of service
  • Landlord contract records: up to 6 years from the end of the contract, in line with legal requirements
  • Enquiries that did not result in a booking: deleted within 12 months

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct any inaccurate or incomplete data
  • Request deletion of your data (the "right to be forgotten"), where no legal obligation requires us to retain it
  • Object to how we process your data
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent at any time where processing is based on consent

8. Complaints

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

These Terms & Conditions apply to all services provided by SuiteClean Ltd. By booking a service or entering into a contract with us, you agree to be bound by these terms. Please read them carefully.

1. About Us

SuiteClean Ltd is a professional cleaning company registered in England and Wales (Company No. 16601711), with a registered address at 73 Duchess of Kent Drive, Chatham, ME5 8DD. Our directors are David Aluko and Kenadi Margetts.

We provide cleaning services including communal area contracts, room cleans, end of tenancy cleans, end of build cleans, and oven cleans across Medway and surrounding areas.

2. Tenant Bookings

2.1 Eligibility
Room clean bookings are available to tenants residing in properties that hold an active communal cleaning contract with SuiteClean Ltd. We verify eligibility by postcode at the time of booking. If your postcode is not recognised, please contact us directly as our records may not yet be updated.

2.2 Booking Confirmation
A booking is confirmed once payment has been received in full. You will receive a booking reference upon successful payment. Until payment is received, your chosen date and time cannot be guaranteed.

2.3 Cancellation & Rescheduling
We require a minimum of 48 hours' notice to cancel or reschedule a room clean booking. Cancellations made with less than 48 hours' notice will result in that session being forfeited — no refund or replacement clean will be issued for that session. To cancel or reschedule, please contact us at info@suiteclean.co.uk or via WhatsApp as soon as possible.

2.4 Access to the Property
It is your responsibility to ensure that our team can access your room at the agreed time. If access cannot be gained and you have not provided sufficient notice, the session will be considered used and no refund or replacement will be issued. Where access is via key safe or landlord arrangement, you are responsible for ensuring these arrangements are in place and communicated to us in advance.

2.5 Room Condition
You agree to ensure your room is in a reasonable, cleanable condition prior to the clean. This includes clearing personal items, clothing, and obstructions from surfaces and floors. SuiteClean reserves the right to refuse a clean where conditions are unsafe, unsanitary, or beyond the scope of standard cleaning (including but not limited to biohazard conditions or urine exposure). In such cases, the session will be considered used and no refund will be issued.

2.6 Packages
Multi-clean packages (3-clean and 6-clean) are sold as a bundle and must be used within the duration of your tenancy. Unused cleans at the end of a tenancy are non-refundable and non-transferable.

3. Landlord & Letting Agent Contracts

3.1 Contract Term
All communal cleaning contracts have a minimum term of 3 months from the agreed start date. Following the initial term, contracts roll on a monthly basis until terminated in accordance with clause 3.2.

3.2 Termination
Either party may terminate the contract after the initial 3-month term by giving 30 days' written notice via email to info@suiteclean.co.uk. Termination during the initial 3-month term is not permitted except in cases of material breach by either party.

3.3 Invoicing
Services are invoiced on a per-property basis. Invoices are issued in accordance with the agreed schedule and are payable within 14 days of the invoice date unless otherwise agreed in writing. Late payment may result in suspension of services.

3.4 Access
The landlord or letting agent is responsible for ensuring SuiteClean has appropriate access to communal areas at agreed times. Any changes to access arrangements must be communicated to us with reasonable notice.

3.5 Scope of Service
The specific areas, frequency, and scope of cleaning will be agreed in writing prior to the commencement of the contract. Any requests outside the agreed scope may be subject to additional charges and must be agreed in advance.

4. Damage Policy

SuiteClean Ltd takes reasonable care when carrying out all cleaning services. In the event that damage occurs to your property or belongings as a direct result of our team's actions, the following process applies:

  • Damage must be reported to us within 48 hours of the clean taking place
  • You must provide reasonable evidence, including photographic evidence taken before and after the clean where available
  • We will assess the reported damage and, where we accept liability, we will arrange for replacement or repair of the damaged item at our cost
  • We are not liable for damage to items that were already in a fragile, deteriorated, or damaged condition prior to the clean
  • Claims reported outside the 48-hour window will not be accepted

All our cleaning operatives are fully insured. Details of our insurance can be provided on request.

5. Liability

SuiteClean Ltd's total liability to you in connection with any service shall not exceed the amount paid for that specific service. We are not liable for any indirect or consequential losses, loss of income, or loss of opportunity arising from our services or any failure to provide them.

Nothing in these Terms & Conditions limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

6. Our Team

All SuiteClean cleaning operatives are DBS checked and fully insured. We reserve the right to assign any suitably qualified member of our team to carry out your service.

7. Changes to These Terms

We may update these Terms & Conditions from time to time. For existing landlord contracts, any material changes will be communicated in writing with reasonable notice. For tenant bookings, the version in force at the time of booking applies.

8. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
